How do I file a lien in Medisoft and the Arkansas Notice of Medical Lien?

Summary
Every personal-injury patient must have a lien filed per state law once third-party or UM insurance is verified. In Arkansas the Notice of Medical Lien is recorded at the courthouse through CSC, then served on the patient and carrier by certified mail.
- 1Every patient with a personal-injury case must have a lien filed per state law upon verification of the third party or uninsured motorist (UM) insurance; the lien protects the clinic's interest in the settlement.
- 2Once third-party or UM information is obtained (liability can still be pending), the verifier keys the insurance information into Medisoft to generate the lien.
- 3The CA who entered the patient must have keyed the name, address, accident date, and new-patient date correctly so they populate the lien; the verifier enters the remaining lien information.
- 4Arkansas: every personal-injury patient must have a Notice of Medical Lien recorded at the courthouse upon verification of third-party or UM insurance, then served on the patient and at-fault carrier via certified mail.
- 5The lien representative records the Notice of Medical Lien through CSC, faxes a copy to the carrier and attorney, and mails a copy via certified mail to the patient and carrier; CSC emails the recorded lien to the clinic.
- 6Stand the printed Notice of Medical Lien up in the pending liens file sorter in the chart so staff can see the lien is filed while fax confirmation and certified mail copies are pending.
- 7On receipt of the lien copy from the admin office, print the lien, fax confirmation, and certified mail label copy and staple them together.
- 8File the admin lien documents on the left side of the chart, and file the CSC copy of the lien on the left side to be used later in the Final Packet.
- 9Supplementary Notice: every patient with a collectable balance must have a Supplementary Notice of Medical Lien filed at the courthouse, including the final balance due, within 60 days of the last treatment date and re-filed every 180 days.
- 10Although the clinic has 6 months to record the supplemental lien, set a 5-month follow-up to allow plenty of time to re-file; it follows the same process as the initial lien.
