How do I reschedule a patient or move them between AM and PM?

Organization ApprovedSource Verified

Summary

Always write the patient on the new appointment day first, then note the reschedule on the current day. Late patients are called at 10 minutes past, and no-shows who cannot be reached go blue and onto the Blue Sheet.

  1. 1
When a patient signs in, color the square to the left of their name in red pencil before pulling their Travel Card.
  2. 2
When a patient reschedules, write them on the next appointment day first, then return to the present day and note the reschedule date in the R/S column — never write the R/S date first.
  3. 3
If the patient cannot keep the appointment but does reschedule for a later date, write them on the new date first, then color the current day's box blue and note the R/S date; this patient will not appear on the Blue Sheet.
  4. 4
If a patient is late, call them at 10 minutes past the scheduled time and always offer a same-day appointment first.
  5. 5
If the new time is within the same shift that day, write the new time next to their name and highlight it in yellow.
  6. 6
If changing AM to PM or PM to AM, write the patient at the new time first, then line through their name at the original time, note AM/PM in the RS box, and write “See (new time)” above the patient's name, highlighting the time.
  7. 7
If the AM has already been balanced out, update the blues, total scheduled, and percentage after a cross-shift move.
  8. 8
If the patient No Shows and cannot be reached, color the box blue and place them on the Blue Sheet to be called per the call schedule.
Important

Every patient must have either a red or blue colored box next to their name plus an R/S date, or be on the Blue Sheet. A patient who is not rescheduled, not on the Blue Sheet, and not pinked is a Crack.
